Pruitt Prep CPA · The Firm OS

Own. Your. Ledger.

Your firm shouldn’t run on 15 apps that don’t talk to each other. One data ledger you own pulls it together.

The 10-minute data audit for a cohesive firm

Alan Pruitt, CPA

I'm Alan Pruitt, CPA. Firm OS brought our whole firm onto one data ledger we own, with every app a report on top of it and AI wired in where a human reviews. The software bill dropped 95%. The bigger win: the team stopped copying between tools and started moving together. This page has the real numbers, the free guide and audit, and a way to build it with me.

See it running

A walkthrough of our actual portal on sample data: bank statements, month-end close, tax return operations, the client profile, and Ask Aaliyah. Same data ledger, different reports.

Sound familiar?

Everything feels disjointed

Fifteen apps, fifteen logins, fifteen inboxes. Client status lives in one tool, their documents in another, their books in a third. Nothing talks to anything.

You are the integration

The only place the whole firm exists is in your head. Every handoff between tools is a human copying and pasting, and every copy is a chance to drop something.

The fees scale against you

Per client, per seat, per return, per bank feed. The better your firm does, the bigger the software bill gets, and none of it compounds into anything you own.

No single view of the firm

What landed in the bank today? Which returns are stuck? Which close is behind? Answering takes five tabs and twenty minutes, so mostly it goes unanswered.

That was us a little over a year ago: an eight-person team with about forty monthly clients and two hundred tax returns a year. The fix wasn't another app. It was putting the firm's data in one ledger we own, and building the tools on top of it. Now a return changes stage and the client profile, the dashboard, and the portal all know. Nobody re-keys. Nobody asks where it lives.

What we were actually paying

I'm the CPA. I review other people's numbers for a living, and I was utterly shocked when I sat down with my own software costs at the end of 2025: nearly $100,000. That was the year we knew something had to change. These are not list prices, they are our bills.

Our actual spend as of the switch. Your mix will differ. Run the same math on your own bills.

Firm OS Roadmap cohort · Founding cohort · Sold out

Build it with me

It starts with the Firm OS Roadmap: a three-week working sprint in a small group of firm owners, capped at six. Three weekly 90-minute sessions: map your stack and your real software spend, work out the architecture and build order for your firm, and leave with a written roadmap built for your stack, your clients, and your team. The founding cohort is $997.

You also get a private 30-minute tune-up call with me for the questions that don't belong in a group. And you leave with more than a plan: during the sprint we stand up your first working app on your own base, from starter builds I already run, so something is live before we're done.

The three weeks

Sessions run Wednesdays, 11:00 AM to 12:30 PM Central, live on Zoom (recorded if you have to miss one).

Pre-workA short intake on your stack and your real bills, free Airtable, Cloudflare, and GitHub accounts (15 minutes, instructions included), and you pick your starter app.
Week 1 · Wed Nov 4Map the firm: your stack teardown with your numbers already run, your version of the $8,308 math, and you pick the one tool that hurts most.
Week 2 · Wed Nov 11Architecture day: the schema for your own base, then we stand your first app up live, together, before the call ends.
Week 3 · Wed Nov 18Your written roadmap: the build order for the next two quarters, which subscriptions fall away at each step, and an app clinic on week one’s friction.
AfterYour private 30-minute tune-up call in the two weeks after session three, for the questions that don’t belong in a group.

The math: one app that replaces $84 a month pays for the cohort in a year. This same roadmap took our stack from $8,308 a month to $415.

The bigger win: one data ledger, so nothing gets copied, chased, or re-keyed. Your team just gets more done.

The honest caveat: this is for firms that already work. Systems only make fires spread faster.
